Student Complaint Resolution Process

Purpose

Canadian All Care College (CACC) is committed to providing all students with a supportive and respectful learning environment. This Student Complaint Resolution Process aims to provide students with a fair and transparent mechanism to address concerns, complaints, or grievances about their educational experience or interactions with the college.

Scope

This process applies to all current and former students of Canadian All Care College.

Definitions

  1. Complaint: An expression of dissatisfaction with an aspect of the educational experience or services provided by Canadian All Care College.
  2. Grievance: A formal complaint submitted by a student when a resolution could not be reached through informal channels.

Procedure

  1. Informal Resolution:
  2. Initial Contact: Students are encouraged to informally resolve their concerns by discussing the matter with the relevant faculty member, staff, or supervisor. Most complaints can be resolved at this level through open communication and collaboration.
  3. Supervisor or Department Head: If the student is not satisfied with the resolution at the informal level, they may contact the supervisor or department head of the relevant area for further discussion and resolution
  4. Formal Complaint Resolution:
  5. Submission of a Formal Complaint: If the student cannot resolve the complaint informally, they may submit a formal complaint in writing to the College’s Academic Manager. The complaint should include a detailed description of the issue, relevant documents, dates, and any prior attempts at resolution.
  6. Complaint Review: The Academic Manager will review the formal complaint and may conduct interviews or investigations as necessary. They will maintain confidentiality throughout the process.
  7. Resolution: The Academic Manager will provide a written response to the student within [15 business days] of receiving the formal complaint. The response will include findings, recommended actions, and steps for implementation.
  8. Appeal Process:
  9. If Dissatisfied: If the student remains dissatisfied with the resolution provided by the Academic Manager, they may appeal the decision in writing to the College’s Director within [10 business days] of receiving the Academic Manager’s response.
  10. Appeals Review: The Director will thoroughly review the appeal and may consult with relevant parties. The Director’s decision is final.
  11. Documentation:

All records related to student complaints and resolutions will be maintained confidentially and securely for [insert retention period, e.g., five years] as required by applicable laws and regulations.

  1. Non-Retaliation:

Canadian All Care College prohibits retaliation against any student who raises a complaint or grievance in good faith. Retaliation is a severe violation of this policy and will be subject to disciplinary action.

  • External Agencies: If the student believes their complaint has not been adequately resolved through the college’s internal process, they may contact external regulatory bodies or agencies relevant to their program or educational sector, such as provincial regulatory authorities or the Ministry of Education:
