Attendance Policy

Purpose

Regular and punctual student attendance in school is essential to academic progress. Classroom learning experiences are the basis for a college education. Time lost from class is a lost learning opportunity. Students who frequently miss classes significantly increase their odds of poor grades in courses.

OSAP requires that the Canadian All Care College (CACC or the College) keeps accurate student attendance records daily. The Ministry takes seriously the issue of absenteeism. The College maintains a detailed attendance report for each student to meet the OSAP/Ministry requirements.

Because of the direct correlation between academic performance and attendance and to meet the OSAP requirements, the College established the following attendance policy.

Scope

This policy will apply to all students of CACC while attending on-campus/on-line classes, or placements with an off-campus training partner.

Policy

CACC students are responsible for their education. Therefore, students should attend all classes,
labs, and placements to receive the intended benefits of their courses. The College is committed
to student success, and students are expected to adhere to the following attendance policy:
Full participation in the program is mandatory according to both OSAP and College regulations.
Students must not exceed a 10% absence rate throughout the program’s duration or be absent for
28 days (including weekends) as applicable, whether the absence is continuous or interrupted.
Failure to adhere to this attendance policy may result in academic probation and/or withdrawal
from the program.
Attendance Tracking Procedures
• Instructors will implement consistent attendance tracking procedures at the start
of each class, after breaks, and at the end of each session.
• The college will use appropriate digital tools or Learning Management Systems to
monitor attendance electronically for asynchronous programs.
• In-person classes will utilize sign-in sheets or electronic attendance systems for
tracking.
Accurate Attendance Recording
• Instructors will ensure accurate and timely recording of student attendance at the
specified intervals during each class session.
• Instructors will document the mode of attendance (in-person or virtual) to
maintain a comprehensive attendance record. Attendance Requirements
• CACC will set clear attendance requirements for each course, as the syllabus
specifies.
• Students will be informed of attendance expectations and the consequences of not
meeting the established requirements. Early Intervention and Support

• Instructors will monitor attendance patterns and promptly identify students who
must meet attendance requirements.
• Instructors will initiate early intervention measures, such as reaching out to
students, offering additional support, or referring them to appropriate academic
advising or support services.
NACC PSW and ECA Programs
The College will immediately dismiss from the program any student who meets any of the
following criteria:
➢ Five (5) consecutive class days absence without notification to the school and a valid
and documented reason for the absence will result in immediate withdrawal and
notification to funding agencies as required.
➢ Even with notification, ten (10) consecutive class days of absence from school will be
considered a withdrawal from the program.
➢ In addition, students who miss more than 10% of their program hours may be withdrawn.
Attendance Policy for Clinical Placements
As part of the course curriculum, clinical placements/practicum are critical components of the
learning experience at Canadian All Care College. Students are expected to adhere to the
attendance policy for clinical placements, as described in the course outline. The following are
the specific responsibilities of students regarding clinical placement attendance:
1. Understanding the Attendance Policy: Students should familiarize themselves with the
attendance policy for clinical placements outlined in the course curriculum and outline.
They should acknowledge the importance of regular attendance during clinical
placements to maximize learning opportunities and meet program requirements.
2. Adherence to Attendance Requirements: Attend all scheduled clinical placement
sessions as specified in the course outline and comply with any additional attendance
expectations communicated by the clinical instructor or placement site.
3. Proactive Communication: Notify the clinical instructor or relevant authorities in
advance if any unplanned circumstances may lead to absence from the clinical placement.
Promptly communicate any illness, emergencies, or extenuating circumstances affecting
attendance.
4. Submission of Required Documentation: For any extended absences due to medical or
emergency reasons, provide the necessary documentation, such as a doctor’s or short-term
absence note, per the attendance policy.
5. Planned Leaves and Absence Reporting: Abide by the college’s attendance policy for
planned leaves during clinical placements and notify the relevant authorities in advance. Report planned absences or changes in the clinical placement schedule to the appropriate
college office.
6. Making Up Missed Hours: If permitted, arrange with the clinical instructor to make up
missed clinical placement hours due to excused absences.
7. Professional Conduct and Responsibility: Approach clinical placements with
professionalism, dedication, and a commitment to learning. Recognize that attendance
during clinical placements impacts the quality of hands-on learning experiences and
overall clinical competence.
8. Compliance with Guidelines: Comply with any additional guidelines or requirements
for clinical placement attendance set forth by the college or the placement site. If unsure
about any aspects of the attendance policy, seek clarification or guidance from the clinical
instructor or relevant college personnel.
Without prearrangements, students must notify the college within 24 hours of unplanned
absences. Medical or other emergencies necessitating an absence exceeding three days require
documentation such as a doctor’s note, medical report, or a short-term absence note. Students
who miss classes, tests, quizzes, assignments, and labs are accountable for independently
completing their learning materials.
A doctor’s note is mandatory for students who have been absent from regular classes for three or
more consecutive days.
To communicate your absence, late arrival, or early departure with a valid reason, please contact
the college via WeChat, MSTeams Chat, phone call, email, or in person before 9:30 AM each
day.
The College will not tolerate continuous and habitual absences, and appropriate remedial
measures will be implemented.
Students who meet 100% attendance will avoid losing their Ontario Student Grant.
Students with too many absences (more than 10% of the program duration) may get poor
grades in the final assessments, which will be reflected in their academic progress reports.
Students absent from classes or labs must learn any missed material within the published
deadlines.
At the beginning of each course, the professor or instructor must advise students about the
attendance requirements as stated in the course outlines.
As stated in the course outline, the impact of non-attendance on grades will be explained on the
first day of class.

A student may make up missed work only at the discretion of the course professor or instructor.
Missed assignments, tests, or other evaluative tools could result in the forfeiture of grades as
described in the course outline.
With the approval of the instructor, the Academic Department will work with students to proctor
missed exams for the types of absences described below.

Scheduled & Planned Absences

It is the student’s responsibility to discuss planned absences with their course instructors at the start of the semester and before each absence.

Unplanned Absences & Emergencies

In the event of an unplanned absence, students at CACC have the following responsibilities:

 Prompt Notification to Course Instructors:
1. When students become aware of an unplanned absence, they must promptly notify
their course instructors.
2. Notification should be made through the appropriate channels, such as email or
any other communication method specified by the college.
Provide a Valid Reason for Absence:
1. Students must communicate the reason for their unplanned absence to their course
instructors.
2. Valid reasons may include illness, severe medical or psychological issues,
personal emergencies (e.g., death in the family), or other unforeseen
circumstances beyond the student’s control.
Illness and Catching Up on Missed Work:
1. In cases of illness, students must notify the Main Office and their course
instructors regarding their absence.
2. After consulting with the professor, the student is responsible for catching up on
the missed work, completing assignments, and fulfilling course requirements in a
timely manner.
Main Office Notification for Severe Issues and Emergencies:
1. In severe medical or psychological issues or personal emergencies, the Main
Office will notify the student’s instructors to confirm the situation.
2. The Main Office will communicate the situation appropriately with the student
and their course instructors.
Proactive Communication:
1. Students are encouraged to proactively communicate with their course instructors,
providing updates on their situation and progress.
2. Keeping instructors informed helps plan any necessary accommodations and
support during the student’s absence.

Follow Course-Specific Guidelines:
1. Students should be aware of any course-specific guidelines regarding unplanned
absences and follow the procedures set by their course instructors.
Resumption of Academic Responsibilities:
1. Upon returning from the unplanned absence, students should promptly resume their
academic responsibilities and make arrangements to catch up on missed
coursework.
Honesty and Integrity: Students should provide honest and accurate information regarding their
unplanned absence to ensure appropriate support and understanding from their course instructors.

Late Arrivals and Early Departures

The College recognizes that there can be occasional difficulties due to personal circumstances, transport delays, and weather. All instances of a late arrival will be counted as missed attendance and be accumulated and monitored as part of the attendance monitoring process but will be exempted if there is a good cause of “Exceptional Personal Circumstances.” However, students should note the following:

  • It is important to attend each class and labs sessions from start to finish. This ensures the student does not miss vital learning or information.
  • Late arrivals and early departures must be reported to the Main Office and the teacher who will make a record in the Attendance Register, and in all cases lost time will be accumulated as missed attendance.
  • If a student misses a test or other piece of assessment due to late arrival, they should arrange a re-write of the test or assessment with the Main Office.

Class Absences Reporting Procedure

Responsibility of the student

  • Notify the Main Office and the instructor immediately about class absences, late arrivals, and early departures.
  • Discuss with the instructor/supervisor any missed class time, tests, assignments, labs, and placement.
  • Arrangements must be made directly with the instructor to make up the exam due to scheduled & planned absences.

Responsibility of the instructor

Communicate clearly to the student the consequences of class absences, and missed tests, assignments, labs, and placement.

  • Processes for making up the missed work.
    Inform the student about the possibility of failing a course because of the excessive amount of missed work or class time.
  • Advice the student if a course deferral or a withdrawal from the course may be pursued because of an excessive amount of missed classes.
  • If an instructor allows a student to miss an exam for a reason not identified, as above, under unplanned absences & emergencies, they will not be able to re-write the exam.
  • It is the instructor’s responsibility to ensure that the student receives their approved accommodation(s) when making arrangements for them to re-write the exam.

A student who fails to comply with attendance requirements; or is absent without authorized leave may be subject to disciplinary action. However, where absenteeism results from illness or other conditions beyond the student’s control, disciplinary action may not be an appropriate response; nonetheless, withdrawal from the program can occur where the College can establish that the student’s attendance record is poor and falls below to meet the academic outcomes and that there is no reasonable likelihood of regular attendance in the foreseeable future.

Camera Engagement Expectation 

Students are expected to keep their cameras on throughout the class, including attendance, breakout rooms, examinations, in-class activities, and discussions. Camera engagement enhances student-teacher interaction, fosters a sense of community, and promotes a conducive learning environment.  

Periodic Camera Checks   

Periodic camera checks will be conducted within the five-hour class period. These checks may occur at random intervals to ensure continuous engagement and participation.  

Privacy and Respect  

CACC recognizes and respects the privacy of students. However, maintaining cameras on during class activities is essential for promoting a collaborative and interactive learning environment. Students are encouraged to create a suitable background to ensure their privacy while participating in class.  

Visual Confirmation Attendance  

Visual Confirmation Attendance at Canadian All Care College (CACC) is a process employed to verify and record individuals’ presence in specific settings, such as classes or meetings. This method utilizes video conferencing tools or other suitable means to confirm participants’ attendance in real-time visually.  

The information obtained through Visual Confirmation Attendance is a reliable method for tracking and recording attendance, which can be used for academic reporting and monitoring.  

The CACC Academic Department will support and assist instructors and students as they utilize Microsoft Teams for attendance tracking and other educational purposes. Instructors must manually input the attendance on a spreadsheet on their teams’ channel daily. To confirm attendance, they can download the attendance generated from the meeting to ensure accuracy.  

CACC will provide training and resources to employees and individuals associated with the
organization to ensure compliance with this policy. CACC will periodically review and
update this policy to ensure its continued relevance and compliance with applicable laws
and regulations. Failure to comply with the policy may result in disciplinary action in
accordance with CACC`s procedures and applicable laws. In case of any disputes, updated
printed copies of CACC policies will take precedence over the policies published on our
website.
