Purpose
Regular and punctual attendance is essential to student learning and academic progress. Consistent participation in scheduled instructional activities supports student success and achievement of program learning outcomes.
Canadian All Care College (CACC) maintains accurate and timely attendance records for all students in accordance with institutional requirements and the expectations of external regulatory bodies, including the Ministry of Colleges and Universities (MCU), the Ontario Student Assistance Program (OSAP), and applicable program standards.
This Attendance Policy establishes the expectations and procedures for monitoring student attendance and participation to support academic progress, ensure regulatory compliance, and promote student success.
Scope
This policy will apply to all students of CACC while attending on-campus/on-line classes, or placements with an off-campus training partner.
Definition of Attendance
For this policy, attendance is defined as a student’s verified presence and active participation in scheduled instructional activities.
Attendance may include:
- Participation in scheduled synchronous (live) instructional sessions
- Verified engagement with course materials within the Learning Management System (LMS)
- Completion and submission of assignments, quizzes, or assessments
- Participation in required academic activities such as discussions, group work, lab activites and instructional exercises
Logging into a learning platform alone does not constitute attendance unless there is clear evidence of academic engagement.
Attendance monitoring supports student success and ensures compliance with institutional policies and regulatory requirements under the Ontario Career Colleges Act, 2005.
Policy
Students at Canadian All Care College (CACC) are responsible for maintaining regular attendance and active participation in all scheduled instructional activities, including classes, labs, and placements.
Regular attendance is essential for academic progress and successful completion of program learning outcomes. Students are expected to participate fully in their program in accordance with institutional requirements and applicable regulatory guidelines.
Students who accumulate absences exceeding ten percent (10%) of the total scheduled program hours, or who demonstrate extended periods of non-attendance, may be subject to academic intervention. Continued failure to meet attendance expectations may result in academic probation and/or withdrawal from the program in accordance with College policies.
Attendance Tracking ProceduresÂ
Canadian All Care College (CACC) maintains consistent procedures for monitoring and recording student attendance.
- Instructors record attendance for each scheduled class session, including at the start of class and at appropriate intervals during the instructional period.
- For online or asynchronous delivery, attendance and participation may be monitored through the Learning Management System (LMS) and other approved digital tools.
- For in-person classes, attendance may be recorded through sign-in sheets or electronic attendance systems approved by the College.
Attendance records are maintained as part of the student’s official academic record.
Attendance Monitoring for Online and Asynchronous Delivery
For programs delivered partially or fully online, attendance is measured through verified academic participation within the Learning Management System (LMS) and other approved digital tools.
Participation may include:
- Login and course access activity
- Completion of learning modules
- Submission of assignments, quizzes, or assessments
- Engagement in discussion forums or other course activities
Students may be flagged for attendance concerns where there is limited or no LMS engagement, minimal participation in course activities, or failure to submit required coursework within established deadlines.
Insufficient participation in asynchronous learning activities may be treated as the equivalent of absenteeism and may result in attendance intervention in accordance with College policies.
Attendance Monitoring Framework
Canadian All Care College monitors student attendance on an ongoing basis to support academic progress and early identification of students who may be at risk of falling behind.
Attendance records are reviewed regularly by instructors and the Academic Department.
Students may be flagged for attendance review when any of the following occur:
- Three (3) consecutive absences without notification
- Repeated late arrivals or early departures
- Patterns of irregular attendance
- Lack of participation in asynchronous learning activities
- Absences exceeding institutional attendance thresholds
When attendance concerns are identified, the College may initiate early intervention measures to support the student and ensure compliance with program requirements.
Attendance Intervention Procedures
Canadian All Care College is committed to early intervention to support student success.
When attendance concerns are identified, the following process may be implemented:
Stage 1 – Initial Contact
The instructor or Academic Department will contact the student to discuss the absence and encourage re-engagement with the program.
Stage 2 – Attendance Monitoring
If attendance concerns continue, the student may be placed under attendance monitoring and may receive additional communication outlining expectations.
Stage 3 – Warning Communication
If the attendance pattern persists, the student may receive a formal written warning indicating the risk of academic consequences if attendance does not improve.
Stage 4 – Escalation
Continued non-attendance may result in escalation to the Academic Department for further review and possible withdrawal from the program.
All communications related to attendance intervention will be documented and maintained within the student’s academic record.
Accurate Attendance RecordingÂ
- Instructors are responsible for ensuring that student attendance is recorded accurately and in a timely manner for each scheduled instructional session.
- Attendance records must reflect the student’s mode of participation (e.g., in-person or online) and must be maintained as part of the student’s official academic record.
Attendance RequirementsÂ
- Canadian All Care College (CACC) establishes attendance expectations for each course as outlined in the course syllabus or program documentation.
- Students are informed of attendance requirements and the potential academic consequences of failing to meet these expectations at the beginning of each course.
Early Intervention and Support Â
- Instructors monitor student attendance patterns and identify students who may be at risk of failing to meet attendance requirements.
- Where attendance concerns are identified, the College may initiate early intervention measures, including contacting the student, providing academic support, or referring the student to appropriate advising or support services.
NACC PSW and ECA ProgramsÂ
Students enrolled in programs governed by National Association of Career Colleges (NACC) standards, including Personal Support Worker (PSW) and Early Childcare Assistant (ECA) programs, must comply with additional attendance requirements.
A student may be withdrawn from the program if any of the following occur:
- Absence for five (5) consecutive class days without prior notification to the College and without a valid documented reason.
- Absence for ten (10) consecutive class days, even when notification has been provided.
- Accumulation of absences exceeding ten percent (10%) of the total program hours.
Where applicable, withdrawals may be reported to relevant funding agencies in accordance with regulatory requirements.
Attendance Policy for Clinical PlacementsÂ
Clinical placements or practicums are essential components of many programs at Canadian All Care College (CACC). Students are required to attend all scheduled clinical placement hours and comply with attendance requirements outlined in the course outline, placement agreement, and program guidelines.
Students participating in clinical placements must:
- Attend all scheduled placement sessions and adhere to the schedule established by the placement site and the College.
- Notify the College and the placement supervisor as soon as possible if they are unable to attend a scheduled placement session due to illness, emergency, or other valid circumstances.
- Provide appropriate documentation for extended absences due to medical or emergency reasons, where required.
- Report planned absences or schedule changes in advance in accordance with College procedures.
- Make arrangements to complete missed placement hours where permitted and approved by the College and placement supervisor.
Students are expected to conduct themselves professionally and comply with all guidelines established by the College and the placement site.
Students who are absent without appropriate notification, fail to provide required documentation, or do not complete required placement hours may be subject to academic consequences, including delays in program progression or withdrawal from the program where placement requirements cannot be satisfied.
Students who miss scheduled academic activities, including classes, assignments, tests, or labs, remain responsible for completing all course requirements within the timelines established by the instructor or course outline.
Instructors will inform students of attendance expectations and the potential academic consequences of non-attendance at the beginning of each course.

Scheduled & Planned Absences
Unplanned Absences & Emergencies
In the event of an unplanned absence, students must notify the College and their course instructor as soon as possible through approved communication channels.
Students are responsible for:
- Providing a valid reason for the absence, such as illness, medical or psychological issues, personal emergencies, or other circumstances beyond the student’s control.
- Informing the College if the absence will extend beyond one day and providing supporting documentation where required.
- Communicating with the instructor regarding missed classes, assessments, or course activities.
- Completing missed coursework and fulfilling academic requirements within the timelines established by the instructor or course outline.
In situations involving serious medical or personal emergencies, the College may communicate with instructors to confirm the student’s circumstances and determine appropriate academic accommodations.
Students are expected to provide accurate information regarding absences and to resume their academic responsibilities promptly upon returning to their studies.
Late Arrivals and Early Departures
Students are expected to attend each scheduled class or lab session from start to finish.
Late arrivals and early departures must be reported to the instructor and recorded in the attendance register. Time missed due to late arrival or early departure may be accumulated and treated as missed attendance for monitoring purposes.
Repeated instances of late arrival or early departure may result in attendance intervention in accordance with the College’s Attendance Policy.
If a student misses an assessment due to late arrival or early departure, arrangements for a rewrite may be considered in accordance with the College’s assessment and examination policies.
Class Absences Reporting Procedure
Student Responsibilities
Students are responsible for communicating absences and maintaining compliance with the College’s Attendance Policy.
Students must:
- Notify the College and the instructor as soon as possible regarding any absence, late arrival, or early departure and provide a valid reason where applicable.
- Communicate with the instructor regarding missed classes, assessments, assignments, labs, or placements.
- Make arrangements with the instructor, where permitted, to complete missed coursework or assessments in accordance with College policies.
- Comply with attendance expectations outlined in course syllabi and College policies.
- Provide accurate and honest information when reporting absences or requesting accommodations.
Students remain responsible for completing all course requirements and maintaining satisfactory academic progress.
Instructor Responsibilities
Instructors are responsible for implementing and monitoring the Attendance Policy within their courses.
Instructors must:
- Communicate attendance expectations and the consequences of non-attendance at the beginning of each course or in the course syllabus.
- Maintain accurate attendance records and report attendance concerns in accordance with College procedures.
- Monitor student attendance patterns and notify the College of significant attendance concerns.
- Provide guidance to students regarding missed coursework or assessments in accordance with institutional policies.
- Maintain appropriate documentation of attendance records and communications with students.
Attendance records are used to monitor student progress and support early intervention where attendance concerns arise.
Students who fail to meet attendance requirements or demonstrate persistent non-attendance may be subject to academic intervention or withdrawal from the program in accordance with College policies.
IP Address Monitoring and Verification
To ensure the integrity of online learning and attendance verification, Canadian All Care College (CACC) may monitor system access data associated with student logins, including Internet Protocol (IP) addresses.
IP address monitoring may be used for the following purposes:
- verifying student identity and participation in online learning activities
- confirming attendance and engagement in synchronous or asynchronous courses
- detecting potential cases of academic misconduct, including proxy attendance or unauthorized access
- ensuring compliance with institutional academic integrity standards
Students are expected to access the learning management system and institutional platforms using their own accounts and devices.
The College reserves the right to review login activity, including IP addresses, timestamps, and access logs, where there are concerns related to attendance verification, academic integrity, or unauthorized access to course materials.
If multiple student accounts are consistently accessed from the same IP address in a manner that raises concerns regarding academic integrity or attendance compliance, the College may conduct a review or investigation.
Students may be required to provide clarification regarding system access if irregular activity is detected.
Failure to comply with attendance and participation requirements or attempts to misrepresent attendance may result in academic or disciplinary action in accordance with the College’s Academic Integrity Policy and Student Conduct Policy.
Documentation and Record Retention
The College maintains accurate and detailed attendance records for all students.
Attendance documentation may include:
- Daily attendance logs
- Electronic attendance reports
- Learning Management System participation records
- Communication records related to attendance concerns
- Intervention and warning notices
All attendance documentation is retained as part of the student’s academic record to support regulatory compliance, institutional oversight, and audit readiness.
Regulatory Compliance 
This policy supports compliance with the Ontario Career Colleges Act, 2005 and the requirements of the Ministry of Colleges and Universities (MCU) regarding student progress monitoring and attendance documentation.
The College maintains attendance records to ensure transparency, support student success, and demonstrate that academic progress is appropriately monitored throughout the program.
Attendance monitoring practices are designed to ensure that students remain engaged in their programs and that appropriate interventions are implemented when attendance concerns arise.
CACC will provide training and resources to employees and individuals associated with the
organization to ensure compliance with this policy. CACC will periodically review and
update this policy to ensure its continued relevance and compliance with applicable laws
and regulations. Failure to comply with the policy may result in disciplinary action in
accordance with CACC`s procedures and applicable laws. In case of any disputes, updated
printed copies of CACC policies will take precedence over the policies published on our
website.
