PURPOSE
Canadian All Care College (CACC) emphasizes the significance of regular and punctual
attendance for academic progress and enriching the learning experience. CACC adheres to the
Ontario Student Assistance Program (OSAP) and the Ministry of Training, Colleges and
Universities (MCU) guidelines, which mandate accurate attendance records. Meeting these
requirements is essential for financial aid eligibility and fulfilling the Ministry’s standards.
To ensure compliance with OSAP and MCU Performance Requirements, CACC has established
criteria for active participation, including classroom attendance. These criteria are vital for maintaining students’ financial assistance eligibility and accurately recording their academic
performance and participation.
The criteria for active participation at CACC include the following:
1. Regular Attendance: Students must attend all scheduled classes and complete the
required program hours.
2. Timely Arrival and Departure: Students should arrive punctually for their scheduled
classes and remain for the entire session. Consistent tardiness or early departures without
prior approval may deter a student’s active participation status.
3. Prior Approval for Absences: Any anticipated absences from assigned program hours
should be communicated and approved in advance.
4. Performance and Academic Progress: Active participation is closely linked to
academic performance. Students are expected to engage actively in classroom activities,
complete assignments, and demonstrate academic progress.
CACC emphasizes the importance of active participation and attendance as they directly
correlate with academic success and eligibility for financial assistance. Students are encouraged
to prioritize their commitment to their education, maintain regular attendance, and actively
engage in their learning experiences to optimize their educational outcomes
SCOPE
This policy applies to all students enrolled in academic programs and courses at Canadian All Care College. It encompasses both in-person and online learning environments.
DEFINITION
Active Participation: Active participation refers to the voluntary and meaningful involvement of students in various course activities, such as class discussions, group projects, presentations, and hands-on exercises. It involves students’ active contribution to the learning process, demonstrating their understanding of the subject matter and willingness to engage with their peers and instructors.
POLICY STATEMENT
Encouragement of Active Participation
A. Faculty members at Canadian All Care College will actively encourage and create
opportunities for student engagement during class sessions.
B. Instructors will implement interactive learning activities that foster critical thinking,
collaboration, and the application of knowledge.
Grading and Assessment
A. Active participation is considered part of certain courses’ overall grading and
assessment process. The course syllabus clearly outlines specific details about how
active participation contributes to the final grade.
B. Assessment of active participation will be based on qualitative aspects, including
students’ responsiveness, participation in class discussion, and the quality of student
contributions, rather than merely the quantity of participation.
Inclusivity and Respect
A. Canadian All Care College values diversity and inclusivity. Students should follow
the college Code of conduct policy and will be encouraged to share their perspectives,
respecting differing opinions and experiences.
B. Instructors will foster a supportive and respectful learning environment where all
students feel comfortable contributing to class discussions.
Flexible Participation Opportunities
A. Instructors will consider various participation formats to accommodate learning
preferences and styles.
B. Online students will be provided with equivalent opportunities for active
participation, such as through discussion forums, virtual group activities, or online
polls.
Documentation and Communication
A. Faculty members will maintain records of students’ active participation for
assessment purposes, ensuring transparency and fairness in grading.
B. The Policy and specific expectations and guidelines will be communicated to all
students at the beginning of each program during orientation.
Attendance Tracking Procedures
A. Instructors will implement consistent attendance tracking procedures at the start of
each class, after breaks, and at the end of each session.
B. For virtual classes, instructors will use appropriate digital tools or Learning
Management Systems (LMS) to monitor attendance electronically.
C. In-person classes will utilize sign-in sheets or electronic attendance systems for
tracking.
Accurate Attendance Recording
A. Faculty members will ensure accurate and timely recording of student attendance at
the specified intervals during each class session.
B. Instructors will document the mode of attendance (in-person or virtual) to maintain a
comprehensive attendance record.

encourage students to participate actively in their education and promote academic excellence
SCHEDULED & PLANNED ABSENCES
The student must discuss planned absences with their course instructors at the start of the semester and before each absence.
UNPLANNED ABSENCES & EMERGENCIES
It is the student’s responsibility to discuss any unplanned absence with their course instructors as
soon as possible once they become aware that they will be missing classes due to one of the
following circumstances:
1. Illness
2. Family Emergency
3. Child Care Issues
4. Care of Elderly or Infirm relatives
5. Family breakdown or homelessness
LATE ARRIVALS AND EARLY DEPARTURES
The College recognizes that there can be occasional difficulties due to personal circumstances, transport delays, and weather. Therefore, all instances of a late arrival will be counted as missed attendance and be accumulated and monitored as part of the attendance monitoring process but will be exempted if there is a good cause of “Exceptional Personal Circumstances.” First, however, students should note the following:
Attending each class and lab session from start to finish is essential. This ensures the student gets vital learning and information.
Late arrivals and early departures must be reported to the Main Office and the teacher, who will make a record in the Attendance Register. In all cases, lost time will be accumulated as missed attendance.
If a student misses a test or assessment due to late arrival, they should arrange a re-write of the test or evaluation with the Main Office.
CLASS ABSENCES REPORTING PROCEDURE
Responsibility of the student
- Notify the Main Office and the instructor immediately about class absences, late arrivals, and early departures.
- Discuss with the instructor/supervisor any missed class time, tests, assignments, labs, and placement.
- Arrangements must be made directly with the instructor to make up the exam due to scheduled & planned absences.
Responsibility of the instructor
- Communicate the consequences of class absences, missed tests, assignments, labs, and placement to the student.
- Processes for making up the missed work.
- Inform the student about the possibility of failing a course because of the excessive amount of missed work or class time.
- Advise students if a course deferral or a withdrawal from the course may be pursued because of excessive missed classes.
Suppose an instructor allows a student to miss an exam for a reason not identified, as above, under unplanned absences & emergencies. In that case, they will not be able to rewrite the exam. The instructor is responsible for ensuring the student receives their approved accommodation(s) when making arrangements to re-write the exam.
REVIEW AND CONTINUOUS IMPROVEMENT
The effectiveness of the Active Participation Policy will be periodically reviewed to assess its impact on student engagement and learning outcomes. Feedback from students and faculty will be considered to make necessary improvements and enhancements.
CACC will provide training and resources to employees and individuals associated with the organization to ensure compliance with this policy. CACC will periodically review and update this policy to ensure its continued relevance and compliance with applicable laws and regulations. Failure to comply with the policy may result in disciplinary action in accordance with CACC`s procedures and applicable laws. In case of any disputes, updated printed copies of CACC policies will take precedence over the policies published on our website.
